1 Overview
The Smartrise Customer Portal is a self-service website where customers can quickly retrieve key job information without waiting for email updates. From the portal you can download job files, find shipment tracking numbers, see ETS / ship dates and shipment status, create quotes, retrieve quote price instantly, view quote history, order parts, and manage billing details.
2 Getting Started
- Sign in using the credentials provided for your company. If you don’t have an account yet, select Request Access from the login page.
- Use the left navigation menu to move between portal sections (Dashboard, Open Quotes, Jobs, Shipments, Billing, etc.).
- Use the Search bar at the top to quickly locate jobs, invoices, or other records.
- Toggle Dark Mode (top-right) based on your viewing preference.
- Use the shopping cart icon when ordering parts.
3 Dashboard
The Dashboard provides three quick-access panels: Active Jobs, Create a Quote, and Job Lookup.
Steps:
In the left menu, select Dashboard.
- Use Active Jobs to review key ship date information for a job (Desired Ship Date and Tentative Ship Date).
- Use Create a Quote to start a new quote.
- Use Job Lookup to search for a job and open it directly.
3.1 Create a Quote (from the Dashboard)
The Create a Quote panel is the fastest way to start a new job quote.
- Enter a Job Name.
- Confirm your customer name (auto-filled).
- Enter the Job Location (use the search icon to find standardized locations if available).
- Check the controller type: Hydro, AC, DC, or Field Programmable.
- Select Create to generate a new quote record (you can complete the technical configuration later).
- Optional: Select Download RFQ Form to download a request-for-quote template.
3.2 Job Lookup (from the Dashboard)
Job Lookup lets you jump directly to a job record when you already know the job identifier.
- In the Job Lookup panel, start typing in Search Jobs
- Select the correct job from the suggestions.
- Select Open Job to open the job details page.
4 Open Quotes
Open Quotes shows quotes created by your account or created by Smartrise Sales.
Steps to find a quote:
- In the left menu, select Open Quotes.
- Choose the tab: Created By Account or Created By Smartrise Sales.
- Use the filters to narrow results (Job Name, Created Date, Job Status, Quote Status).
- Use the pagination controls (top-right of the table) to move through pages.
4.1 Open Quotes: Actions explained
In the Actions column, common icons include:
- View (eye icon): Opens the quote details screen.
- Edit (pencil icon): Opens the quote edit screen so you can update fields and configuration.
- Activity History (circular arrow icon): Shows a timeline of actions taken on the quote (created, generated, etc.).
- Quote Summary / Download (document icon): Opens a quote line-item summary window where you can download the quote details.
- Clone Quote (copy icon): Clones a quote.
NOTE: Available actions may vary depending on quote status and your user permissions.
4.2 Create a New Quote (from Open Quotes)
To create a new quote from the Open Quotes page:
- Select the + button (top-right) to start a new quote.
- Complete the quote header information (job name, building type, job location, contact).
- Click on Create.
- Add one or more cars/line items using the + button within the quote sections (for example, under General Data).
- Select Generate Quote when you’re ready to calculate pricing.
- Use View Quote or PDF to review the generated quote.
4.3 View a Quote
When you open a quote (View action), you can review high-level quote information and configuration tables.
4.3.1 Download the Quote (PDF)
On the quote details screen:
- Select PDF to download/open the quote in PDF format.
- Save the PDF locally or share it with your team.
4.3.2 Edit a Quote
To edit a quote from the quote details screen:
- Select Edit.
- Update header fields such as Job Status, Building Type, Job Location, and Contact as needed.
- If you don’t know the consultant, check Unknown Consultant; otherwise enter the Consultant Name.
- Check Modernization or New Construction if applicable.
- Add or adjust line items/cars using the + button in the relevant section (for example, General Data).
- Select Generate Quote to refresh pricing after changes.
- Select View Quote to review the updated quote before sharing or placing an order.
4.3.3 View Quote Activity History
Activity History provides an audit trail of quote events and amounts.
- From Open Quotes, select the Activity History icon in the Actions column.
- Review the timeline (Action, User, Date/Time, Amount).
- Select Close to exit.
4.3.4 View / Download Quote Line‑Item Summary
The quote summary window lists the products included in the quote and allows download.
- From Open Quotes, select the Quote Summary / Download icon in the Actions column.
- Review the Product list (Description, Unit Price, Quantity, Total Price).
- Select Download to download the quote details.
5 Jobs
Jobs provides a searchable list of your jobs, grouped by job type.
Steps:
- In the left menu, select Jobs.
- Select the job type tab (Traction Jobs, Hydraulic Jobs, or Field Programmable Jobs).
- Use the column filters to find the job (job name, job number, PO number, ship dates, etc.).
5.1 View Job Details
The View Job Details page provides a centralized overview of a job, including project information, job progress, shipment details, and downloadable job documents. This page allows customers to monitor the status of their order and access important files associated with the job.
The Job Details panel provides key information about the job order. Information typically available in this section includes:
- Ordered By
- Installation By
- Currently Maintained By
- Job Name
- Job Number
- PO Number
- Desired Ship Date
- Tentative Ship Date
- Actual Ship Date
- Engineering Completed
- Testing Completed
- Status
- Ship To Address
Some fields may display N/A if the information has not yet been determined or the job has not reached that stage in the process.
The Job History panel displays the major milestones of the job as it progresses through engineering and production.
Typical milestones include:
- Released to Engineering
- Engineered
- Released to Production
The Job Passcodes panel displays the passcodes for each fully paid job.
The Shipments panel displays shipment records associated with the job.
The Job Files section allows you to download documents related to the job. Common files available include:
- Drawing
- Power Report
- Software
5.2 Reprogram Field Programmable Jobs
A special Action Tool is available for field programmable jobs. By clicking the tool icon under the Actions column, users can reprogram any field programmable job according to their requirements at any time and download the corresponding job files.
6 Shipments
Shipments provides shipment and tracking visibility across jobs, including tracking number, ship date, delivery date/time, and status.
Steps:
- In the left menu, select Shipments.
- Use filters such as Job Name, Job Number, Package, Tracking Number, Drop Shipment, Ship Date, and Status.
- Select the eye icon in View Details to open shipment/job detail information.
6.1How to Retrieve Tracking Numbers, ETS, and Shipment Status
The job detail screen consolidates shipment details and job files downloads in one place.
- Open the job details (from Jobs or Shipments).
- In the Shipments section, expand the package (for example, Controller) to see shipment data.
- Locate the Tracking Number field; if the shipment is not yet shipped, it may show N/A until the carrier label is created.
- Review ship-to address, ship date, delivery date/time (if available), and the shipment status (for example, Transit, Shipped).
6.2 How to Download Job Drawings / Prints and Other Job Files
Job drawings (prints) and other job documents are available under Job Files.
- Open the job details (from Jobs or Shipments).
- Scroll to the Job Files section.
- Select the download icon next to Drawing to download the job drawings/prints.
- Download other available files the same way (examples: IO, Power Report, Prewire).
7 Backorders
Backorders displays items/jobs that are currently on backorder (if any).
Steps:
- In the left menu, select Backorders.
- Use filters such as Backorder Number, Job Name, Job Number, Car Name, Created Date, and Status.
- If available, select View Details to open the backorder record.
8 RMAs
RMAs lists Return Material Authorizations associated with your jobs (if any).
Steps:
- In the left menu, select RMAs.
- Filter by RMA Number, Job Name, Job Number, Sales Order Number, or Created Date.
- Select View Details to open the RMA record.
9 Order Parts
Order Parts includes a parts catalog and a purchase order list for parts you have ordered.
9.1 Browse and Order Parts
- In the left menu, expand Order Parts and select Parts.
- In Filter, enter a Part Name or Number and select Search.
- On a part card, set the quantity using the - / + controls.
- Select Add to Cart.
- When ready, select the cart icon at the top-right to view the order summary and fill out the shipping/billing details to process the order .
9.2 View Purchase Orders for Parts
- In the left menu, expand Order Parts and select Purchase Orders.
- Filter by Purchase Order Number, Job Name, or Job Number.
- Select View Details to open the purchase order (if available).
10 Billing
The Billing menu provides access to Bank Accounts, Invoices, and Statement of Account.
10.1 Bank Accounts: Add, Verify, Set Default, and Edit
Use Bank Accounts to store and manage payment methods.
- In the left menu, expand Billing and select Bank Accounts.
- To add a new bank account, select the + button.
- Choose a verification method: Instant Verification (Connect Bank) or Manual Verification (Add Manually).
- After the account is added, use the Actions icons to manage it (set default, edit, view, or remove).
Actions on a Bank Account typically include:
- Set as Default (crown icon): Sets the selected bank account as the default payment method.
- Verify (check mark): Verifies the bank account.
- Edit (pencil): Updates the account name or metadata (as allowed).
- View (eye): Opens the bank account details.
10.2 Invoices: Find, View Details, and Review Payments
- In the left menu, expand Billing and select Invoices.
- Use filters (Job Number, Invoice Number, PO Number, Invoice Date, Balance) to locate the invoice.
- Use the top-right Show All filter to view all invoices or filter by status.
- Select the eye icon to open the invoice details.
10.3 Statement of Account: Pay Outstanding Invoices
Statement of Account is designed for making payments against one or more open invoices (when enabled).
- In the left menu, expand Billing and select Statement of Account.
- Use filters to find invoices (Invoice Number, PO Number, Invoice Date, Due Date, Amount, Balance).
- Check the Pay box next to one or more invoices.
- Select Make Payment and follow the prompts to choose a bank account and submit payment.
- Select the eye icon in View Details to review an invoice before paying.
11 Other Useful Sections
Depending on your access level, you may also see:
- Accounts: View and manage your company account profile and related settings.
- Account Users: Add/manage users who can access your company portal account (roles/permissions may apply).
- User Activity: Review recent portal activity for auditing (logins, changes, etc.).
- Manuals & Resources: Access product documentation, manuals, and reference materials.
12 Troubleshooting Tips
- Can’t find a job or quote: Confirm you are searching the correct job name/number and that you have access to that job under your company account.
- No tracking number yet: Tracking numbers may appear only after the shipment label is created; check again later or review the Shipments list for status updates.
- Can’t download drawings: Ensure pop-ups are allowed for the portal site and that your browser can open PDF files.
